Set up the Easyvista connector

The EasyVista connector simplifies synchronization between actions and recurring tasks in Tenacy with EasyVista tickets:

  • Actions or recurring tasks created in Tenacy are automatically generated as tickets in EasyVista through a predefined mapping.

  • Any modification made to the status of an EasyVista ticket is automatically reflected in the corresponding object within Tenacy.

⚠️ Actions or occurrences of recurring tasks created before configuration will not be synchronized with EasyVista.

Add and set up the connector

To add this connector, go to Catalogue > Connectors > EasyVista > Add connector

Once the connector is added, you must begin the configuration:

To ensure correct connector configuration, the following details will be needed:

  • Authentication data: URL, Token.

  • Default language: When creating a ticket in EasyVista, the content is composed in the language assigned to the manager of the Tenacy object. If not one unique manager is assigned, the language specified here will be used. This is relevant when describing your actions or recurring tasks in English and French.

  • Type of synchronization: Specify whether you intend to create EasyVista tickets from actions or recurring tasks. ⚠️ If both, separate connectors are needed for each.

  • Register: Identify the actions or recurring tasks from which synchronization will occur. ⚠️ For multiple registers, separate connectors are needed.

  • Subject mapping: Map the correspondence between the chosen registry groups and EasyVista subjects. These subjects will be linked to the EasyVista tickets generated from the tasks or actions within these groups. Objects from unselected groups will not be synchronized.

  • Status mapping: Define the equivalencies between EasyVista and Tenacy statuses.

  • Additional field mapping (optional): Add any additional fields you wish to fill via the API (particularly mandatory fields in EasyVista) and the fixed value to associate.

💡 Default synchronized data from actions or recurring tasks includes:

  • Subject

  • Title

  • Description

  • Creation date

  • Recipient

  • Requestor

  • External ID

How the connector works

Here are several rules to know when using your connector:

  • If an action or recurring task is moved from the configured register in Tenacy to an unconfigured register, the ticket remains in EasyVista, but the link will be removed. Therefore, any future modifications to the action/recurring task will not be synchronized, even if the action/recurring task is moved back to the original register.

  • Deleting, canceling, or completing actions/recurring tasks in Tenacy does not delete the corresponding ticket in EasyVista.

  • Any modification of the name and description of the action/recurring task in Tenacy is also updated in EasyVista tickets.

Recurring Tasks:

  • When a recurring task is created (control and operation task), if a completion is required for the current period (based on the task’s start date), a ticket is generated in EasyVista and linked to this completion.

  • For each period's start (and for each type of period), a new ticket is created in EasyVista.

  • Every hour, the completions associated with EasyVista tickets are checked. The status of the EasyVista ticket is retrieved and synchronized with the recurring task in Tenacy based on the status mapping.

  • When the status changes to DONE or NOT DONE, and if the recurring task requires proof, the EasyVista URL is added as proof.

Actions:

  • When an action is created, a ticket is generated in EasyVista and linked to this action.

  • Every hour, actions that are not closed (to be scheduled, scheduled, pending, in progress) and linked to EasyVista tickets are checked. The status of the EasyVista ticket is retrieved and:

    • If the status is mapped to a Tenacy status in the configuration module, the action status in Tenacy is updated accordingly.

    • When the status changes to completed, and if the action requires proof, the EasyVista URL is added as proof.

Run your first test

Once the connector is properly configured, test the integration by creating a new action or test task in Tenacy.

This new creation will trigger the connector execution.

To check if it works correctly, go to ⚙️ > Connectors > Click on your EasyVista connector > then click on the last execution row to verify if it worked correctly.
